What is a Driver Qualification File?

A Driver Qualification File (DQF) is the federal record you must maintain for every driver you employ. It’s the foundation of FMCSA compliance: when an inspector pulls over your truck, they will ask to see the DQF. If documents are missing or incomplete, you’re looking at violations.

The DQF contains the core documents that prove a driver is legally qualified to operate a commercial motor vehicle: proof of hiring (the application), a current motor vehicle record (MVR), a valid medical certificate, training records, and other required certifications. FMCSA doesn’t prescribe a single format — you can organize files however works for you — but every required piece must be present, current, and accessible.

Many carriers lose points on DQF audits simply because they don’t keep records organized or don’t renew time-sensitive documents like medical certificates. It’s not complicated, but it is mandatory.
